What we improved in VIBEPro this summer

VIBEPro manager dashboard showing the next market and an action queue

Farmers market software can look finished long before it is finished learning. The menus exist. The forms submit. The screenshots look tidy. Then a real market week happens and exposes the difference between a feature that exists and a feature that helps at the exact moment somebody needs it.

That is where most of VIBEPro's summer work came from. Not a giant launch theme. Not a list invented for a sales deck. A series of practical improvements to the manager's week, the vendor's phone, the staff schedule, and the handoff to the bookkeeper.

The dashboard now starts with the next decision

The old dashboard had useful information, but useful information can still make you hunt. The redesigned version starts with the next market and the work that needs attention: space requests, staffing gaps, reminders, and open support needs. The important numbers lead somewhere, so a manager can move from seeing a problem to working it without searching through the navigation.

That sounds like a visual redesign. It is really a change in the product's point of view. A dashboard should not prove that the software has data. It should help the person opening it decide what to do next.

Staff coverage became a timeline you can read

Markets do not run on vendor assignments alone. Someone opens the gate, covers the information booth, handles tokens, manages parking, answers questions, and stays through cleanup. The staff schedule now shows those assignments across the actual market day as a color-coded timeline. Managers can see where coverage starts, where it ends, and where a role is still open.

The schedule index also shows how full each date is before you open it. That turns staffing from a list you inspect one shift at a time into a pattern you can understand at a glance.

The vendor side got more useful on a phone

A vendor standing beside a van does not want a desktop dashboard squeezed onto a small screen. The phone home now puts the next useful action closer to the top: upcoming market information, requests, and the things that still need attention. It is a small surface with a very specific job. Help the vendor answer, pay, upload, or confirm without calling the manager.

Markets can define the vendor categories they actually use

Farmers, prepared food, and artisans are common categories. They are not universal categories. Some markets also manage entertainers, food trucks, sponsors, nonprofits, youth vendors, and categories with local names. Managers can now configure those vendor types for their own market and attach the right application, document, and fee behavior to them.

The point is flexibility. A market should be able to describe its own roster without bending it around somebody else's database vocabulary.

Fewer request dead ends

Real schedules change. A vendor gets skipped, a request gets canceled, or a correction arrives after the market date. Managers now have clearer recovery actions for those cases, including past history. That means fewer ordinary corrections have to become support tickets.

Completed payments can leave in bookkeeper-ready formats

VIBEPro records the operational side of payments while funds go directly through the market's own payment account. Managers can now export completed-payment detail for QuickBooks Online, Xero, or a generic CSV over a selected date range. The goal is not to replace accounting software. It is to stop making someone rebuild the same clean handoff by hand.

The quieter work matters too

Some improvements should never become a headline. Support handoffs now keep a continuing conversation together instead of opening duplicates. Notifications stop going to inactive accounts. Contact information is handled more consistently. Those are maintenance details, but reliability is mostly made of maintenance details.

VIBEPro is still growing because the work is still close to the market. We will keep sharing the improvements that change a manager's week, keep the technical machinery where it belongs, and wait until experiments become dependable product before promising them.
